DutyMan

As advised in the last club newsletter, we are now using an internet-based system for managing club duties from Jan 2008. This letter provides the basic details and attempts to answer your probable questions. If, after reading this and checking out the website, you have any other questions, please contact Bruce Snelling. You will have received an email with your login details, please keep it safe for when you need it.

Summary

As you are aware, the WLSC duty roster typically comprises:
Senior Officer of the day
Officer of the day
Assistant
Assistant
Galley
Bar

Our current membership size means that a new roster is prepared approximately every six months
(therefore help recruit more members and thereby reduce the frequency of your duties!!).

We are fortunate at the moment to have just enough competent SODs and competent OODs to
make this roster cycle achievable. What we would like to do is have more people considered as
competent, either as SOD or OOD. This would make rostering and swapping duties more flexible,
as well as improving the competency of all members across the board.

Therefore please would:

SODs - spend some time teaching OODs how to undertake the duties of SOD
- let me know when you consider someone competent as an OOD or SOD

OODs - learn how to be a SOD!
- spend some time teaching Assistants the duties of an OOD

Assts - learn how to be an OOD.

There is something important for the others also:

Galley - End your day with taking a rough inventory of the contents of the
fridge and let the next person on galley duty know what is there. This will reduce the amount of
food that we waste due to it passing its expiry date. You will find name and contact details of your
successor on DutyMan.

Bar - Let Paul Holland know if you run out of cask beer.

What is Dutyman?

"DutyMan" is the name of an internet-based system that manages clubs' duty rosters.

Our club's duty roster for 2008 has been published on the web and linked to our club website so that everyone with web access can easily check it. The roster automatically reflects duty swaps. Quick and easy on-line editing means our roster is always up to date. · Emailed duty reminders Reminders are automatically emailed to members before each of their duties. · Interactive duty swapping Members who need to swap duties can request swaps via email with just a few clicks. When a swap request is accepted all involved with the duty are automatically informed. Please visit the website: www.dutyman.biz to find out more.

Why do we use it?

DutyMan will save the club photocopying and postage costs. It will also make swapping duties much easier. This, together with reminder emails, should improve attendance for undertaking duties and make life easier for all of us.

When? WLSC will start using DutyMan for duties commencing January 2008. The duty roster for the first six months is attached for your information. DutyMan will shortly send an email to all members with duties to let you know that the system is live, and provide your login name and password and a link to the duty roster.

Who will be on it?

In accordance with club rules, every club member over the age of 14 is required to undertake an appropriate duty. If you wish to be considered for a duty other than that allocated to you, please contact me.

How do you use it?

The club has email addresses for most people and we are sending this letter to them via email. If you change your address or would prefer us to use an alternative email address, please notify myself (address below) AND the membership secretary (email to: david_baddeley@hotmail.com) and we will update our records. If you want to swap duties with anyone not on email, you will have to phone them in order to do so. If your swap is successful, please email me to confirm and I will amend DutyMan accordingly.
